Purchase Standardization

Project Background & Scope

The client was consistently purchasing 80–100 servers annually and aimed to streamline procurement while reducing downtime in the event of hardware failures.

Project Outcome

Server hardware and accessories—including hard drives and memory—were standardized to a single brand and a limited number of models. This allowed the vendor to better forecast demand, resulting in cost reductions.

Due to strict access control at the client's datacenters, it was impractical for third-party repair personnel to be screened and granted access for every incident. Furthermore, the vendor couldn't guarantee the same technicians for each visit. To address this, a stock of commonly used spare parts was made available onsite. This enabled the client’s internal team to perform repairs immediately, with faulty components returned to the vendor afterward.

Client Benefits
  • Reduced hardware costs, as the servers were standardized on fewer models and better prices could be obtained.

  • Significantly faster repair times—95% of incidents were resolved within hours instead of day, as spare parts were available on-site.
